I’ve finally given up all hope that Steve Jobs will ever answer my emails, so it’s time to close off the “Talking Mail.app” series that ran on Hawk Wings through February and early March.

A number of developers and iCelebrities cheerfully gave up their time to conduct “email interviews”, sharing their views on what’s good about Mail and what’s not so good, what plugins they use to make their Mail experience better and how Mail.app could be improved.

Michael Tsai is an indie Mac developer whose products include DropDMG and SpamSieve. He's also the publisher of ATPM, a Mac e-zine that's now in its 12th year.

Michael Tsai is an indie Mac developer whose products include DropDMG and SpamSieve .

He’s also the publisher of ATPM , a Mac e-zine that’s now in its 12th year.

His main Mac is a Dual 2 GHz G5 with 2.5 GB of RAM and two 20″ Dell 2005FPWs. He says, “I will eventually switch to the 20″ iMac Core Duo that I’m using for testing, but there are some development tools that I haven’t gotten switched over to Intel yet, and I’ll probably wait until DiskWarrior can handle the new partition format.”

HW: How long have you been using Apple Mail? What other clients have you used (and why did you stop)?

MT: I used Emailer 1 and 2 for several years and really liked it, however, database corruption problems prompted me to switch to Outlook Express 4 for a time. Then Mailsmith came out, and I’ve been using it as my main client pretty much ever since. I subscribe to a ton of mailing lists, and I’ve long used a separate client to handle the mailing list mail. For a while that was Eudora, but around the Jaguar timeframe I switched to Apple Mail because, unlike Eudora, it doesn’t store the message data in mangled form.

HW: What plugins and extensions do you use to make your email experience better?

MT: SpamSieve, of course. And I use an AppleScript that lets me reply to Apple Mail messages from within Mailsmith.

HW: What do you like about Apple Mail?

MT: The interface is pretty clean, although I don’t like the new toolbar buttons. I like that it’s well threaded and that you can open multiple viewer windows. I like that the rules are stored in a property list file, as this makes it much easier for me to troubleshoot SpamSieve setup problems–plus, it makes me feel like I could “export” the rules, if I needed to. My favorite detail is the way, when you add a condition to a rule, it fills in the text box based on the appropriate property of the currently selected message.

HW: What do you dislike about Apple Mail?

MT: I don’t like the message editor, especially the way it handles quote bars and encourages top-posting. The rules conditions and actions have some odd limitations compared to other clients. In Tiger, it got a lot slower, content searching now requires Spotlight, and the script menu was removed. The AppleScript interface is somewhat unreliable, and it changes in incompatible ways from version to version. Clicking on the mailbox list doesn’t give it keyboard focus. Whenever Mail has trouble connecting to the mail server, it displays a generic modal dialog asking for my account password, even though the password isn’t the problem.

HW: If you could tell the Apple Mail development team one thing, what would it be?

MT: Please add a real plug-in API that tools like SpamSieve can use to modify the interface and filtering.

- – - -

HW: How long have you been using Mail.app? What other clients have you used (and why did you stop)?

BS: I currently use Entourage mostly, because it works much better than Mail.app with our Exchange system.

I’ve used Mail.app in the past, though — along with Eudora, Mailsmith, pine, and mutt.

Actually, I do use Mail.app exclusively with my .Mac email address. And of course I use it as a developer (figuring out how to make it so you can send email from NetNewsWire via Mail.app).

HW: What plugins and extensions do you use to make your email experience better?

BS: Were I using Mail.app more regularly, I’d probably use that one that nukes the weird toolbar icons. [Mail Stamps].

HW: What’s your favourite thing about Mail.app?

BS: The unified Inbox. I have multiple accounts, but they all go into the same Inbox. I haven’t figured out how to have a single Inbox in Entourage.

HW: What’s your pet hate about Mail.app?

BS: The big one is that filing email is a giant pain. I want to be able to file email easily and quickly via the keyboard — as is possible in Mailsmith, Entourage, pine, and mutt. With Mail.app you have to use the mouse. Ugh!

Even if Mail.app worked well enough with Exchange, and I could switch off Entourage, that’s the thing that would stop me from switching to Mail.app. I need to file email, and I need to *not* use the mouse. Period.

There are other pet hates, of course. The text editor is weak. I’d love it if I could edit using an external editor (as in pine and mutt) or if a really great text editor was part of the app (as in Mailsmith). (Even Entourage’s text editor is better than Mail.app’s — it at least has abbreviations, which is a feature I use all the time.)

Another one is that weird vertical-bar-quotation thing. When I’m writing a reply, that bar sometimes gets stuck in odd locations and I can’t figure out how to delete. What’s wrong with >, like every other email app?

Another one is that you can’t navigate the mailboxes list with the keyboard. That’s just so weird.

HW: If you could tell the Apple Mail development team one thing, what would it be?

BS: They shouldn’t pay attention to my pet hates — I’m obviously not representative of the average user. Plus it’s cool that they leave opportunities open for other developers (Microsoft, Bare Bones Software, etc.).

He uses a 17″ PowerBook that’s greatly in need of an upgrade.

HW: How long have you been using Mail.app? What other clients have you used (and why did you stop)?

MM: I’ve used Mail.app since the first non-beta of OS X I installed, although for a long time we “saw other people.” For the longest time I had this really Byzantine, IMAP-enabled system of using Mail.app for any kind of serious email work and Entourage for all other PIM-based work. I felt like one of those guys on the Ed Sullivan Show, dashing around, trying to keep all the plates spinning.

Since moving to kGTD and iCal a few weeks ago, I’m 100% off Entourage, but do use Gmail, and occasionally my provider’s web app if I’m away from home base.

I loved Eudora back in the day — it’s what I used for like 5 years starting in ’95 — but it started to feel crufty and a bit out of date. Took me months to get used to not having all my mailboxes in separate windows — an old-school Mac practice that’s since been replaced by the ubiquitous 3-panel interface.

HW: What plugins and extensions do you use to make your email experience better?

MM: Probably the ones most geeks are using:

MailTemplate – I would get nothing done if it weren’t for the 40 or so templates I use in this app (and which are integrated into both Mail.app and the Finder/Path Finder). Most any time I have to answer a similar email more than a couple times, I make a new template for responding. People who whine that this robs them of the uniquely entrancing quality of their handmade responses either have too much time on their hands or, more likely, never actually have tried to use templates. It’s hard for me to imagine email life without MailTamplate.

Mail Act-On – Allows you to associate key commands with rules in Mail.app, facilitating mouse-free processing and greatly speeding up the re-organization and sorting needed to keep the old inbox at “0″.

Mail Tags – Clever way to add spotlight metadata to specific messages. I don’t use this all too much, but I see its power for the folks who have a folksonomy (wikipedia ) they can live with.

Mail Enhancer – An outdated (abandoned?) hack/script that adds a few nice little features, like having the Dock icon show the total number of emails unread (not _just_ the Inbox). Before Tiger destroyed its will to live, Mail Enhancer did my favorite thing ever; automagically associating signatures with any of the virtually unlimited number of “From:” addresses you use, per-account. I would kill to have this back, so if the developer is reading along and wants someone whacked in exchange for an update, the offer is on the table.

HW: What’s your favourite thing about Mail.app?

MM: I love that I can CMD-select multiple mailboxes to view the contents of more than one mailbox at a time. It’s the lack of this that makes Thunderbird a non-starter for me. Frankly, I’m amazed more mail apps don’t let you do this. It seems like such an obvious feature to me

It’s so funny. Back in the day I’d always take the piss out of Windows users for being such wussies — for only using Windows this and Windows that, and they’d always say “But, it just all works really well together,” and I’d say “Feh!” and slink off to play with the 35 crashy shareware apps I used to run the Rube Goldberg machine that was my life in the mid 90s.

The fact is, warts and all, Mail.app’s easy integration with other apps (esp. Address Book and iChat) makes it good enough for even most sophisticated users (which is not to say it’s perfect exactly…)

HW: What’s your pet hate about Mail.app?

MM: Hmm. I dunno if it’s a hate exactly, but I’m finding myself craving much more control over the interruptions that I allow into my world. I wish it were a bit easier — as in, did not require a labyrinth of handmade artisan scripts — to filter out the kind of mail that leads to which sorts of notifications.

I also wouldn’t mind more control over how it looks, I suppose.

HW: If you could tell the Apple Mail development team one thing, what would it be?

MM: You are so good-looking.

No, actually, I think I’d suggest that they try to bring the quality of Smart Folders up to where it is with Smart Playlists over in iTunes. Meaning I can base rules on other rules, plus there should be several more characteristics to filter on (beginning with “Message is Not Flagged”).

I’ve come around to the idea that like it or not, email is where people live today. Personally I think it’s daft to focus on email’s ability to constantly deliver new messages, but if I have to live in email to communicate effectively with the world, my wish list is likely to grow and grow.

Ethan Schoonover is the developer of Kinkless GTD (kGTD), a collection of AppleScripts and a template for OmniOutliner Pro and iCal that implements David Allen’s “Getting Things Done” philosophy for Mac users.

HW: How would you describe yourself?

ES: A recent interviewer described me as an “international gadabout” which is my preferred title as it sounds both worldly and completely irresponsible. Otherwise I would suggest ‘photogrammer’. Work (and right brain stimulation) is photography (ejas.net ) but I program when I’m not shining bright lights at people.

HW: What kind of Mac do you use?

ES: My primary Mac is a Dual 2.7 G5, 4GB Ram, with two terabytes of disk space (half internal, half external). On the road I use a 15″ Powerbook. iPod Mini 2nd gen (I’m holding out for the iPhone). Main monitor: 23″ cinema, Second monitor, a Philips 18″, vertical orientation.

HW: How long have you been using Mail.app? What other clients have you used (and why did you stop)?

ES: I’ve switched (back) to the mac (after a ten year hiatus) almost exactly a year ago. Until then I was an Outlook addict. When I started my “OSX adjustment period” and began to select my core apps, I took a look at Entourage. Entourage is ugly. Really, really ugly. On the mac, for the most part, ‘ugly’ correlates strongly to ‘crappy’. Not in all cases, but it’s a common symptom. So I decided against Entourage and went straight for Mail.app.

I was in shock at first since it had no clear calendar or task integration. I’ve since learned to love the simplicity and single mindedness of this approach. To abuse some OO terminology, the i-apps in OSX tend to have strong cohesion and are loosely coupled which I now realize is a very good thing for my PIM functions.

HW: What plugins and extensions do you use to make your email experience better?

ES: My aesthetic dictates that I dislike the Mail 2.0 buttons, so I use Mail Stamps. I’m probably going to look at using some template or mass mailing plugins for user support mails soon, though I am not certain whether I’ll manage that from Mail.app or not.

I tried MailTags and Mail Act-on , and both seemed interesting but I need to carve out some solid time to work through them in detail. I’m going to be building in better mail-kgtd integration soon via scripts. Not really a plugin, but I’ll use it a lot.

HW: What’s your favourite thing about Mail.app?

ES: Favourite Things: Clarity. No kipple. Decent scriptability. Pine scent.

HW: What’s your pet hate about Mail.app?

ES: Right click, “move-to” does not spring open nested IMAP folders.

HW: If you could tell the Apple Mail development team one thing, what would it be?

ES: The UI feels a bit off visually… but other that vague comment, thank you for a fine app.

HW: How long have you been using Mail.app? What other clients have you used (and why did you stop)?

MH: I’ve been using Mail since April 2004. I started with Entourage on my first powerbook in early 2002, but it eventually got so slow I could no longer tolerate it.

HW: What plugins and extensions do you use to make your email experience better?

MH: The only one I’ve used is the one that makes the buttons look and act like Mail did pre-Tiger. [Mail Stamps.]

HW: What’s your favourite thing about Mail.app?

MH: The simplicity of it. There’s no wasted screen real estate or features I never use.

HW: What’s your pet hate about Mail.app?

MH: I wish searching was just a tad more robust. 8 years ago, Eudora let me search for any message that had an attachment that ended in .pdf that was sent from the domain of my accountant’s website. Apple Mail can’t do that, unfortunately, but I found MailSteward through your blog that can hopefully cover my search needs.

HW: If you could tell the Apple Mail development team one thing, what would it be?

MH: Make an advanced search option to do what I just described — let me search on two or three fields.

HW: How long have you been using Mail.app? What other clients have you used (and why did you stop)?

RG: Since the 10.0 Public Beta. I had to use Entourage at work, and hated it. It just looked so ugly and felt cluttered, though I did like it’s three-column view. As soon as Mail gained Exchange support, I switched at work, too.

HW: What plugins and extensions do you use to make your email experience better?

RG: I’ve used many at various times, though presently I’m not running any.

HW: What’s your favourite thing about Mail.app?

RG: It’s got a nice, simple yet powerful interface.

HW: What’s your pet hate about Mail.app?

RG: Rules need to be more powerful.

HW: If you could tell the Apple Mail development team one thing, what would it be?

RG: Please improve the keyboard support; navigating via keyboard only is tricky at best right now.

He is a well published writer of both fiction and journalism who is currently managing his company’s IT until he falls out of love with it.

It interests me especially that he uses Mail.app in an enterprise environment where other email clients are often preferred.

He uses a Dual 2 GHz PowerPC G5 with 4GB RAM running 10.4.4 on 250gb + 500gb internal harddive, backing up to a Lacie 500gb as needed; with *cough* 3rd Party Flat Panel displays.

HW: How long have you been using Mail.app? What other clients have you used (and why did you stop)?

BF: I was originally turned onto mail.app when I upgraded to Panther (very shortly after it was released). At the time I had been using a very buggy Entourage, and was looking for a robust alternative. Panther’s mail.app was very appealing from the get go — the clean icons (similar to Thunderbird), and most importantly the drawer that that would spawn a million alternative drawer[ed] applications. I had used Thunderbird, and while it had it’s pluses, namely stable interaction with Linux servers and extendability — it never has felt like a macintosh application should feel (nor does it play will with other macintosh applications).

For a short while I migrated to MailSmith from Bare Bones as well — but this application is more appealing to the developer in me, not the designer (as it is a text only mail application), and suffers from only POP support — once I embraced IMAP, I’ve never wanted to go back.

Entourage is another story in its own right — and I can thank its demise on my computer as a way of taking back my love for this OS. Its strong collaboration tools always seem to drag me back into at least attempting to make good use of its power… but it’s a flaky application on the IMAP front, its support for vCard standards is not full (though neither can Apple’s address book take that crown), it’s a completely unattractive and counter intuitive UI, weighed down by what seems to be lots of features, but no unified image. Every time I take two steps forward into resurrecting it, I always go five steps back.

HW: What plugins and extensions do you use to make your email experience better?

BF: At the moment, I’m only using three: MailAppetizer, Mail Stamps and Daylite’s Mail plugin as I demo Daylite for business collaboration in our office.

Mail Appetizer has replaced Growl Notification, as it’s more convenient to read a brief of my mail then simply know mail has arrived. The Daylite plugin works seamlessly in Mail to track communication between clients, co workers, and just about any user — I’m growing so fond of it, it’s starting to become a replacement for Address Book (though I still sync it, should I ever decide to work offline) — but it is still a Beta application, and could very well improve.

For a long while MailTags and Mail Act-on were installed — and though I think MailTags has strong promise, it always felt like a band aid for the larger problem of strong collaboration tools within the Apple OS. Much less, it’s tagging features are less relevant if you let Daylite keep track of your mail for you.

Mail Stamps is more aesthetic, and a hack that remedies one of my larger gripes with Apple — you replaced great icons, with silly icons. I see its unification, but I cringe working with them – Mail Stamps outright saved me from never opening mail again when 10.4 came around.

HW: What’s your favourite thing about Mail.app?

BF: It looks and feels like a Mac application; that’s what I love the most. I know I can make a smart folder, it will be indexed by Spotlight, it will integrate with iPhoto, it’ll play nice with Address Book… seamless. It’s why so many mac users love/hate Firefox or Thunderbird (and to counter that argument hate/love Camino — who feels wonderfully like a Mac application, without the strong developer features of firefox). I can enjoy my experience without thinking about how to use my application — passive.

HW: What’s your pet hate about Mail.app?

BF: It’s become as slow as Entourage for me… maybe not as buggy, but just as slow. My pate hate, excluding my gripe with 10.4 icons, is it’s drag with IMAP accounts. For this very reason, I am always at odds with jumping ship to Thunderbird and forcing that application to love my mac in some way or another. The irony is it’s pushed me more and more into chat interaction vs mail interaction with clients and co workers – and I’ve looked to web based tools to further unify communication while avoiding email. Makes you wonder, with GMAIL+GTALK married together now, if that’s the next wave of communication?

HW: If you could tell the Apple Mail development team one thing, what would it be?

BF: All it needs is shine. It’s so close to being a polished mail application — do what you do best; simplify and perfect. While Microsoft will make the next application with little focus on usability and loaded with partially completed features, streamline what you have from design to stability, and you have my devotion.

His first Mac was a Macintosh Classic, but he was primarily raised on a PC.

He switched to the Mac in 2001, using a trusty 700Mhz Power Mac Quicksilver. He now uses a 1.25Ghz PowerBook, which is to be replaced by a MacBook Pro in September.

HW: How long have you been using Mail.app?

AE: I began to use Mail when I switched to the Mac platform, after falling in love with the PowerBook G4 and Mac OS X.

I used Mail in conjunction with the web-based Yahoo Mail until my account began being inundated with spam. I’ve been using Mail exclusively since I purchased my PowerBook in September 2003. I’ve been very happy with Mail since, and it’s yet to really give me a reason to look elsewhere for another email client.

In my PC years I put up with Outlook and Outlook Express out of pure ignorance.

HW: What plugins and extensions do you use to make your email experience better?

AE: Without Mail Stamps , Mail would be completely unusable by me. Had I not been able to revert Mail’s new lozenge-like buttons introduced in Tiger, back to the beautifully crafted full-size icons used in Panther, I don’t think I could have continued to use Mail. It was just too big a pill to swallow. They are absolutely hideous, and I am still bewildered as to why some developer at Apple thought the change was a good idea.

Mail Attachments Iconizer is actually quite helpful. Instead of Mail trying to render and display a 16 page PDF within an email (which can sometime take forever), all my attachments are now displayed as icons instead.

I also use GPG Mail for those rare times when I need to encrypt my communications, and the recipient doesn’t use the S/MIME standard (which is built into Mail and Mac OS X).

HW: What’s your favourite thing about Mail.app?

AE: Mail is very well integrated with Mac OS X:

I think I take Address Book’s integration for granted but things like displaying the sender’s picture for a quick visual cue is a nice touch.

I added all my accounts to iChat, including Microsoft Messenger, because Mail conveniently shows if a contact is online and available for instant messaging, as opposed to emailing them.

Spotlight is incredibly speedy in finding the exact email I need to reference, whether I’m using Mail or not.

And while iPhoto isn’t really a part of Mac OS X, I appreciate the fact I can quickly move pictures from Mail to iPhoto with two clicks (I greatly prefer this over photocasting).

HW: What’s your pet hate about Mail.app?

AE:

Those stupid, stupid lozenge-shaped buttons. Oh how I loathe them.

Mail does not apply rules correctly to incoming mail in IMAP sub-folders. My university account is IMAP based and has a sub-folder called “spam-found.” While the spam filter does a perfect job of marking spam and moving it to this folder, I find it impossible to set up Mail to automatically mark these emails as read and delete them. This drives me crazy.

HW: If you could tell the Apple Mail development team one thing, what would it be?

AE: How about two things?

Thank you.

An option for a wide-screen setup would be nice, such that the mailboxes, list of messages, and the message preview are were positioned vertically. I connect my PowerBook to a 23 inch Cinema display when on campus, and it just seems silly to me that Mail can’t make use of the added pixel real-estate. There was an excellent Mail Widescreen Mockup posted on Flickr recently. While I’ve come close to reproducing this mockup with some hacking, my changes leave Mail very unstable.
