			<content:encoded><![CDATA[<p>I&#8217;m sorry for the lapse in taste, but I can&#8217;t help myself.</p>
<p>This morning at 6.05 am, Hawk Wings served its 5 millionth page to the world.  </p>
<p>At least, that&#8217;s the total Mint has cranked up since I installed it in July 2006:</p>

<p>Teary-eyed, as I stand before this milestone, I am grateful to several luminaries in the blogosphere who encouraged me to continue throughout the long stretch when the numbers were not so promising. *sniff* </p>
<p>Thanks too to the aggregators who picked up my posts. Sweet!</p>
<p>Blogging; it&#8217;s cheaper than therapy.</p>

<p>His first script simply pipes a selected email from mail.app into your online Toodledo account, where it will wait for you to tag it, give it a context and a project or folder. </p>
<p>The second, more complicated script uses MailTags to tag and add other information to the task before you send it off.</p>
<p>When this script is run, it open up a copy of the email, ready to forward to Toodledo and offers you the chance to map fields from the message&#8217;s MailTags pane onto categories that Toodledo understands:</p>

Project in Mailtags = Folder in Toodledo<br />
Due-date in Mailtags = Due-date in Toodledo</p>

<p>Clever! You can tag and process the task without leaving Mail&#8217;s interface.</p>
<p>Of course, it&#8217;s even more clever to trigger the script with a keyboard shortcut, either in Quicksilver or Fastscripts or MailTags&#8217; sister app, Mail Act-on:</p>

<p>Kelly Turner <a href="http://www.macworld.com/article/133701/2008/06/packrat.html" title="Macworld | Editors&#039; Notes | Confessions of a former e-mail packrat">kicks things off</a> <img src="http://www.hawkwings.net/images/extlink.jpg"/> with a confession about her bulging inbox, its 35,000 emails and the level of self-deception involved in telling herself that her system was working:</p>
<blockquote><p>&#8230;I often lost track of messages that still needed to be dealt with. As new messages arrived and older ones disappeared from my screen, I seldom thought to scroll down to see what was still unread. And although I’d developed elaborate coping mechanisms (using colors and flags and searches to identify messages) simply having an ocean of e-mail in front of me made the process of answering and checking e-mail seem like a Herculean task. </p></blockquote>
<p>This forms a nice segue to the first part of Joe Kissel&#8217;s three-part &#8220;email renovation&#8221; series. He begins with <a href="http://www.macworld.com/article/133950/2008/06/emptyinbox1.html" title="Macworld | Turn down the volume on your e-mail">a series of tips</a> <img src="http://www.hawkwings.net/images/extlink.jpg"/> on reducing the amount of traffic that comes into your inbox in the first place&#8212;dealing with spam, all those hilarious joke-a-minute emails that your friends and family insist on circulating, learning what belongs in Mail.app and what belongs in iChat and more.</p>
<p>Part Two is on &#8220;Meet your new filing system&#8221;.  I&#8217;ll be amazed if it doesn&#8217;t mention <a href="http://www.indev.ca/MailActOn.html">Mail Act-on</a> <img src="http://www.hawkwings.net/images/extlink.jpg"/> and <a href="http://www.indev.ca/MailTags.html">MailTags</a> <img src="http://www.hawkwings.net/images/extlink.jpg"/>, the two premier organisational plugins for Mail.app.  </p>

<p>Finally, Joe <a href="http://www.macworld.com/article/134122/2008/06/workingmac2507.html" title="Macworld | Master Mail’s reminders">has written</a> <img src="http://www.hawkwings.net/images/extlink.jpg"/> a piece on coming to grips with notes and to-dos in Leopard Mail. He offers some smart tips on moving your calenders and to-dos to an IMAP account. <li>&nbsp;&nbsp;&nbsp;New Outline look. </li>
<li>&nbsp;&nbsp;&nbsp;Fix problem with Online Sync and firewalls.</li>

<p><a href='http://www.hawkwings.net/wp-content/uploads/2008/06/easytasksync.jpg'><img src="http://www.hawkwings.net/wp-content/uploads/2008/06/easytasksync.jpg" alt="EasyTask can sync with an iPhone?" title="easytasksync" width="220" height="189"align="right" border="0" hspace="10" vspace="0" /></a>But what caught my eye was the claim <a href="http://www.orionbelt.com/productMac.php" title="EasyTask Manager -- GTD &amp; ToDo / Task Management Application for Mac">on the developer&#8217;s web site</a> <img src="http://www.hawkwings.net/images/extlink.jpg"/> that it can &#8220;Sync with the iPhone&#8221;.</p>
<p>This turns out to be only half-true (if that). It doesn&#8217;t sync with the iPhone at all.  What happens is that app syncs up to an online interface accessible through an iPhone.</p>
<p>It&#8217;s not a beautiful interface, but will get the job done.  However, when you mark a task as completed on the iPhone you are greeted with the screen on the right:</p>

<p>Hmmmm&#8230;.  This is not the key to a seamless GTD workflow.</p>
<p>If you are looking for a solid GTD workflow that involves an iPhone, <a href="http://www.rememberthemilk.com/" title="Remember The Milk: Online to do list and task management">Remember the Milk</a> <img src="http://www.hawkwings.net/images/extlink.jpg"/> remains a much better solution (although the launch of the 3G iPhone promises lots of new apps, like <a href="http://www.43folders.com/2008/06/10/omnifocus-iphone-application" title="OmniFocus for iPhone: Location-Aware Contexts and More | 43 Folders">OmniFocus for the iPhone</a> <img src="http://www.hawkwings.net/images/extlink.jpg"/>).</p>
<p>(<strong>UPDATE:</strong> According to <a href="http://www.tuaw.com/2008/06/12/apple-design-awards-2008/">TUAW</a> <img src="http://www.hawkwings.net/images/extlink.jpg"/> Remember the Milk has just won the 2008 Apple Design Award for best iPhone web app.)</p>
<p><img src="http://www.hawkwings.net/wp-content/uploads/2008/06/rtm-iphone.jpg" alt="Rtm Iphone"  align="right" border="0" hspace="10" vspace="0" height="330" width="220"/>With its much more polished iPhone interface (pictured), <a href="http://www.people.cornell.edu/pages/yi38/rtm/Remember%20the%20Milk%20Widget.html" title="Remember the Milk Widget">Dashboard widget</a> <img src="http://www.hawkwings.net/images/extlink.jpg"/>, <a href="http://www.binaryminded.com/qsrtm.html" title="Binary Minded Software - Remember The Milk for Quicksilver">Quicksilver action</a> <img src="http://www.hawkwings.net/images/extlink.jpg"/> and <a href="http://www.rememberthemilk.com/services/">whatnot</a> <img src="http://www.hawkwings.net/images/extlink.jpg"/>, it&#8217;s the best iPhone solution currently around.</p>

<p>I should point out, that in order to use the iPhone interface, you need to puchase a &#8220;pro&#8221; subscription (USD 25 a year) to Remember The Milk.</p>

<p>I&#8217;m torn about EasyTask Manager.  On the one hand, it presents a fine mid-priced (USD 19.99), mid-featured GTD framework.  </p>
<p>On the other, with Things and OmniFocus and others powering ahead, it&#8217;s simply falling too far behind the pack. Harsh but, I think, fair.</p>

<p>By default you can&#8217;t do this.  If you select multiple emails in the Mail Viewer, the Reply and Reply All buttons in the Toolbar grey out. </p>
<p>Aral&#8217;s script, based on a previous example posted on macOSXHints.com, saves time and effort by giving you the power to respond to a bunch of emails about a similar problem in one hit; especially useful if you have been on an extended break at the beach and have returned to an inbox heaving with emails.</p>

<p>Then select all the emails you received about new cutting edge &#8220;Getting Things Done&#8221; (GTD) apps that knock every other previous GTD app into a cocked hat, or how frustrating it is that the background of emails in Mail.app can&#8217;t be changed or whatever, and run the script.</p>
<p>Mail produces a new message addressed to you with all the senders of the original emails in the BCC field:</p>

<p>Personally, I like the big, fully-featured approach to task management (<a href="http://www.hawkwings.net/2007/11/21/omnifocus-new-tricks-notifications-iphone-syncing/" title="Hawk Wings  &raquo; Blog Archive   &raquo; OmniFocus&#8217; new tricks: Notifications, iPhone syncing">OmniFocus</a>, <a href="http://bargiel.home.pl/iGTD/" title="bartek:bargiel : iGTD">iGTD</a> <img src="http://www.hawkwings.net/images/extlink.jpg"/>, etc), but not everyone needs all the bells and whistles.</p>
<p>If these big hitters are not for you, then Anxiety is well worth a look. As the developer says, &#8220;With a tiny desktop footprint and clean minimalist aesthetics, the application is simultaneously small, beautiful and effective&#8221;.</p>
<p>It presents a simple list of outstanding tasks, which can be displayed and hidden again by clicking on the app&#8217;s Menubar or Dock icon:</p>

<p>When it has focus, hitting Return brings up a pane to create a new task. Tabbing through you can quickly enter the task and assign it to the calendar of your choice. Once it is created in iCal, it is soon synced into Leopard Mail as well.</p>
<p>Double-clicking on a task in the list opens the to-do in Mail or opens the task&#8217;s Edit pane in iCal (you can set this in the app&#8217;s Preferences). </p>
<p>Checking the box on the left, completes the task, which turns a violent green and then disappears.</p>
<p>Anxiety&#8217;s Preferences allow you to determine whether it displays tasks by individual calendar or in a unified list, whether the icon is displayed in the Dock, Menubar or both, and various display options:</p>

<p><img src="http://www.hawkwings.net/wp-content/uploads/2007/11/omni_focus_dock_alerts.jpg" alt="Omni Focus Dock Alerts" align="left" border="0" hspace="10" vspace="0" height="329" width="126"/>The app now has a comprehensive system of alerts about tasks that due soon.</p>
<p>It offers the option to display these alerts in the Dock, where like Mail.app&#8217;s little red bubble, they serve as a constant reminder that fooling around on facebook all day will not result in Getting Things Done.</p>
<p>Right-clicking the Dock icon brings up a summary of the upcoming tasks, listed by context.</p>
<p>Alerts in the menubar provide another option for a visual prompt about outstanding tasks.</p>
<p>Here, a drop-down menu also lists the tasks by context.  Clicking on one, opens OmniFocus at the appropriate place in the app&#8217;s Context View.</p>
<p><img src="http://www.hawkwings.net/wp-content/uploads/2007/11/omni_focus_menubar_alerts1.jpg" alt="Omni Focus Menubar Alerts"  align="right" border="0" hspace="10" vspace="0" height="304" width="150"/>Other aspects are constantly being improved, in particular the Perspective options, which provide pre-sets for filtering your tasks in user-customisable ways.</p>
<p>For example, I can set a Perspective that shows me only tasks related to my day job that are due in the next three days. OmniFocus creates a button for that Perspective which I can then place in the app&#8217;s Toolbar for easy access.</p>
<p>Syncing with iCal is more trouble-free than it was two days ago and the Kinkless Importer is much more stable and reliable.</p>

<p>In short, it looks good. The press release promises that OmniFocus will help &#8220;you work smarter by giving you powerful tools for staying on track of all the things you need to do.&#8221; And it lives up to its promise, even in beta form.</p>
<p>GTD Old-timers will immediately recognise OmniFocus&#8217;s roots in <a href="http://kinkless.com/kgtd" title="kgtd | Kinkless">KinklessGTD</a> <img src="http://www.hawkwings.net/images/extlink.jpg"/>, Ethan Schoonover&#8217;s collection of applescripts for Getting Things Done with OmniGroup&#8217;s OmniOutliner. (Ethan has been a key colloborator on the project and is now OmniGroup&#8217;s Head of Marketing.) </p>
<p>For a while, it was the market-leader for its comprehensiveness, its Quicksilver integration and ability to sync smoothly with iCal.</p>
<p>These strengths are carried over into OmniFocus. </p>
<p>The interface has that reassuring Kinkless look:</p>

<p>Depending on whether it is running in Planning or Contexts mode, it lists your projects or your contexts in the lefthand-side column, and the matching content on the righthand-side.</p>
<p>It aims to provide &#8220;a big bucket&#8221; or comprehensive features for gathering actions or tasks that you need to get done. There&#8217;s no point having a GTD app if it can&#8217;t easily capture the totality of your tasks, however they come in or occur to you.</p>
<p>To this end, while Quicksilver provided much of the gathering grunt in Kinkless, OminFocus has its own, built-in, system-wide Quick entry tool, with a keyboard shortcut that can be customised in the app&#8217;s Preferences:</p>

<p>Tabbing across the name of the task, the project, the context and the due date is quick and easy. It even knows that tomorrow is Monday, 19 November. (<strong>UPDATE:</strong> In order to see the Due Date field in the Quick Entry pane, you will need first to Check the View &gt; Columns &gt; Due Date option in OmniFocus.)   </p>
<p>It is also possible to email tasks to yourself, using the Mail rule that OmniFocus installs for you, which automatically shunts any email with a subject line starting with &#8220;&#8211; &#8221; (or whatever you set in the preferences) into its Inbox for processing later, then archiving the email into the folder you choose.</p>
<p>The collecting process has been carefully thought through, and it shows. Nice.</p>
<p>Processing tasks, sorting them into projects and the contexts in which they can be done, is done in the app&#8217;s Inbox. It&#8217;s all tab-friendly and it&#8217;s smart &#8212; auto-matching of existing projects and contexts and smart parsing of dates makes the processing quick and consistent.</p>
<p>Syncing with iCal is even smarter than I remember it in Kinkless. OmniFocus now allows you to decide which iCal calendar to use for which contexts, reducing the clutter in iCal and making for better &#8220;synergy&#8221; between my Omnifocus office context and iCal work calendar:</p>

<p>And of course it makes use of the new Leopard Mail.app-iCal to-do syncing, which brings OmniFocus to-dos through into Mail.app&#8217;s to-do list, each one optionally prefixed with its Omnifocus context:</p>

<p>Thanks to the magic of iPhone, I then have my to-dos with me wherever I go (although not the clipped information which is unhelpfully wrapped up in a mime attachment). </p>
<p>(<strong>UPDATE:</strong> There is a trick here though. By default, to-dos piped into Mail.app are stored in the &#8220;On My Mac&#8221; to-do folder. It&#8217;s a pain, but you can drag them into the to-do mailbox of an account that your iPhone checks. Obviously, it would be better if this was automated but I don&#8217;t think that you can apply rules to to-dos.)</p>
<p>Still, if you take care in writing the names of your to-dos, the iPhone will even highlight the phone number of the person you need to call:</p>

<p>I am liking this app very much, much better than <a href="http://www.hawkwings.net/2006/10/05/getting-things-done-overview-and-mac-friendly-web-apps/">other GTD solutions for Mac users</a>. I took advantage of the special pre-release offer about fifteen minutes after installing the beta. </p>
<p>OmniFocus is available for a limited time at the pre-release price of USD 39.95 (and 25% cheaper than that for people who have a OmniOutliner 3.0 licence. So, it only cost me USD 29.95). </p>
<p>When released on 8 January it will sell for USD 79.95. Expensive, you say? You&#8217;re right. Good value, you ask?  It depends what your time is worth.</p>

<p>He presents a sample screenshot using a note to list things that need to be done, talks about using Leopard Mail&#8217;s RSS feature to speed up the time you spend reading the web and what smart mailboxes are good for.</p>
<p>Unfortunately, my notes don&#8217;t sync to my iPhone as he suggests.</p>
<p>It&#8217;s not really a systematic attempt to implement GTD in Leopard Mail, but it is an interesting summary of the productivity-boosting features in Leopard Mail.</p>
<p>Myself, I am reluctant to incorporate the new features of Leopard Mail into a tweaked workflow for getting things done. </p>
<p>To tell the truth, I am bit underwhelmed by the notes and to-do features, the to-dos especially. Remember the Keynote at which Steve Jobs explained in an excited voice how he &#8220;lives in Mail&#8221;?  Ah-a, I thought, that means we are now going to see something really special. </p>
<p>But in fact the implementation of to-dos is really crude. They are there, but the flexibility to display them sensibly (hide completed, show to-dos for upcoming week, show only a particular calendar, etc, etc) is missing. Perhaps that&#8217;s why he lives in Mail; the features are too underdone to help him get his work done and live outside Mail for a while! </p>

<p>It doesn&#8217;t transfer data to your iPod or iPhone, or sync information with facebook, or grab an audio soundbite from iTunes for each project, or have fifteen user-customisable icons for each context. It just does lists, projects, tasks and contexts.  And it does them very well.</p>
<p>The interface is simple:</p>

<p>Simple keyboard shortcuts start a new project or task. Contexts (or what the app calls &#8216;tags&#8217;) with @ prepended are stored and can be set to autocomplete on future tasks.</p>
<p>Tasks for each context across a variety of projects are easily and cleanly displayed by selecting the context from a drop down list:</p>

<p>Completed tasks can be archived, which shifts them down to the bottom of the document and removes from the project and context-specific display.</p>
<p>If I had time to maintain a GTD life outside Mail.app, I would use something like this. There is no opportunity to waste time tweaking endless options which are peripheral to achieving the task management that these apps are designed to provide.  Although there are plenty of other GTD apps for Mac users (see <a href="http://www.hawkwings.net/2006/07/14/ten-mac-tools-for-getting-things-done/" title="Hawk Wings  &raquo; Blog Archive   &raquo; Ten Mac tools for Getting Things Done">an earlier Hawk Wings post</a> <img src="http://www.hawkwings.net/images/extlink.jpg"/> or <a href="http://lowendmac.com/eubanks/06/1003.html" title="Getting Things Done: 9 Online Task Management Solutions">Ed Eubanks&#8217; round-up</a> <img src="http://www.hawkwings.net/images/extlink.jpg"/> at Low End Mac), none of them offers the forocious &#8220;Productivity Boot Camp&#8221; discipline of TaskPaper. I find that helpful.</p>
<p>You can <a href="http://hogbaysoftware.com/products/taskpaper" title="Taskpaper">get a copy of TaskPaper</a> <img src="http://www.hawkwings.net/images/extlink.jpg"/> from the Hog Bay web site. It costs USD 18.95 although the free 14-day demo period gives you a chance to discover if this the approach that works for you.</p>
